At Stirling City Centre BID ltd, we are committed to protecting the personal data of our website visitors, board directors, employees, BID members, stakeholders, partners, and BID levy payers.   1. Data Audit and Retention We have conducted a comprehensive audit of all our electronic databases containing personal information. As part of our data management practices: a. Any database that has not been used in the last year has been securely deleted to minimize data storage and potential risks. b. Personal information of board directors and employees will only be used for the purpose of conducting the day-to-day business operations of the company. c. In April/May 2019, we conducted a data refresh audit. As a result, all previously held data about BID members was deleted. We have collected new email addresses, phone numbers, and addresses from BID members, stakeholders, and partners, which will be used exclusively for communication related to BID matters.
  2. Data Controller Responsibilities As the data controller for the BID levy ratepayers’ database, we take the following measures to ensure data confidentiality and security: a. The BID levy ratepayers’ database is stored in a password-protected file on our computer system. b. Access to this database is limited to the BID Manager and certain authorized BID staff members, who can access it on an operational need-to-know basis.
  3. Communication with BID Levy Payers We have collected email addresses of staff in the shops and offices within the BID zone. We use these email addresses to send newsletters and event invitations (e.g., AGM) to BID levy payers. Our communication practices are as follows: a. The newsletter provides information about the projects and services that BID levy payers contribute to. b. We obtained explicit consent from BID levy payers to use their email addresses for the purpose of providing BID-related information. c. If a BID levy payer requests us to stop sending information to a particular email address, we will promptly remove it from our mailing list.
  4. Newsletter Subscription Visitors to our website have the option to sign up for our newsletter. By subscribing, they agree to receive periodic updates from us. We collect and store their email addresses securely, and subscribers can unsubscribe at any time using the provided opt-out mechanism.
